Employee incentive trip ideas and planning checklist

Planning prompts for an employee reward trip: define eligibility, compare supplier quotes, decide guest funding, and assign operational responsibilities.

Planning considerations

Pick the right structure

Decide whether the reward is an individual trip, a group departure, or a team event. Document who is eligible and who approves exceptions before inviting anyone.

Build your budget

Build a budget from current quotes for travel, rooms, meals, activities, staffing, taxes, and contingency. Record whether the employer or traveler funds each item.

Destinations that scale

Compare destination access, venue capacity, seasonal conditions, and traveler requirements using current supplier and official information. No availability or visa assessment is provided here.

Qualification design

Choose the qualification period, scoring source, approval process, and appeal rules in your sales or incentive system. ADGEvents does not calculate incentive eligibility.

Planning milestones

Create tasks for supplier selection, invitations, traveler intake, confirmation review, pre-trip communication, and post-trip reconciliation. Set deadlines from your actual departure date.

Frequently asked questions

What is a typical budget per person for an employee incentive trip?
There is no universal budget. Obtain current quotes and include transport, accommodation, meals, activities, taxes, staff costs, guest funding, and contingency. This page does not provide a supplier quote or verified market benchmark.
Should we include spouses or plus-ones?
Decide guest eligibility and funding before launch. Compare the extra transport, room, meal, and activity costs and consider accessibility and different household circumstances; there is no guaranteed retention outcome.
How long should the qualification window be?
Quarterly windows keep momentum but limit the reward pool. Annual windows create a bigger prize but risk momentum in Q3. The right answer depends on your sales cycle length.
What software should we use to run it?
ADGEvents supports traveler records, trip tasks, itineraries, and existing financial reports. Automatic qualification is not yet available and live Travelport purchasing is coming soon. The incentive-travel page explains these limits.
How many qualifiers should the trip include?
Choose a participant count that fits your objectives, supplier capacity, and approved budget. Publish fair eligibility rules and a process for ties and exceptions; this guide does not assert an industry-standard percentage.
Should the trip be domestic or international?
International trips create more perceived value but add passport and visa complexity. Newer programs often start domestic to prove the operating model, then go international once the playbook is solid.
What are the biggest mistakes to avoid?
Under-communicating the qualification math, waiting too long to book venues, excluding spouses when the culture expects them, and skipping the post-trip debrief that fuels next year's design.
